There’s nothing we love more than a great summer wedding, but while you’re busy working through all the wonderful details, don’t forget the importance of keeping your guests in their happy place!

Here’s Crystal’s quick tips to ensure your guests are refreshed and relaxed during your dream summer wedding day:

1. Drinks upon arrival (at least water, lemonade, aqua fresca, infused waters, etc.)

2. Outdoor ceremony…try to make sure there is some type of shade from trees, umbrellas etc. Custom draping can be incorporated into the design so you can have a beautiful element that provides shade for your guests seating.

3. Use of space and times of day – sometimes what is always done is not necessarily what has to be done or what makes the most sense.  With spaces that sell an indoor space for dining/dancing and outdoor for the ceremony… sometimes beauty can be in the opposite.  When it is hottest time of day (the ceremony) change that to the indoor venue and make it look amazing, then go outside to dine and dance in the vineyards and under the cool stars.

4. Enough bars per head count – trust the event and catering team for what is needed.  If anything have a an open non alcoholic self serve drink station available and replenished throughout.

5. Instead of white on white (which is BARELY ever what we believe on doing)… pops of color everywhere done strategically and with a cohesive palette. Example: if you are using raspberry pink…either use various shades/tones of that or only that color in that space, and another color strictly in another space.

  2. I love a great spreadsheet, but sometimes they aren’t the best method for working with others, which is why I love Asana. In Asana, you can assign tasks and collaborate with your coworkers, and it couldn’t be easier to use! It’s flexible enough to where you can easily add in those random ad hoc requests that come in and even better, you don’t have to dig through emails to find conversations because you can communicate with your team members right in the platform. Asana also has a mobile app that you can use offline, which I greatly appreciate during my daily Caltrain commute.

  • Write it down!
  • Despite my love for Asana, I am still very much a devout “notebook person.” Call me old fashioned, but there’s just something about having something written down that makes it feel official – plus with so many cute designs out there, how can you not love the promise of a new notebook?!
  • Rifle Paper Co. has some of my favorite designs (which also make me smile because they remind me of these adorable dresses from one of my favorite Amazae weddings!)
  • Whenever I’m onsite working an event, I always sleep with a notebook right next to my bed. That way, when I wake up at 4AM in a panic that I need to reprint something, I just write it down and go back to sleep (or at least try!)

  • Take care of yourself first!
  • As event planners, we are typically chronic people pleasers who will do anything to make someone else happy. So make a pact to channel some of that energy into doing something nice for yourself! It can be as small as catching up with a friend on your commute home from work, taking a few minutes for a quick morning yoga session, or go “big” and treat yourself to a relaxing mani-pedi after a long day.  What’s my favorite treat? I love working out with ClassPass – it is flexible enough that I can try new fitness classes while traveling for work but it also forces me to schedule my workouts in advance, so I’m less likely to bail and use work as an excuse.

    • Find humor in every situation – or at least try!
    • This video never fails to make me laugh. Whether I’m “working with a committee here” or promising everyone “when this is all over, drinks are on me,” it’s oddly comforting to know I’m not alone in all this craziness!
    1. And when all else fails, delegate!

    • • Must be able to demonstrate ability to work independently and as part of a team
    • • Must be detail oriented
    • • Highly organized and punctual
    • • Customer service driven
    • • Have experience managing and coordinating several projects simultaneously
    • Operations & Event Assistant:
    • JOB DESCRIPTION AND RESPONSIBILITIES:
    • Focus on behind-the-scenes supporting events. This requires staying closely acquainted on the details of booked accounts, serving as the support to lead designer and planner. Work with supporting team members to ensure flawless execution day of event.
    • SOFT SKILLS:
    • • Organized
    • • Team Oriented
    • • Quickly adaptable to surroundings and people’s behaviors/feelings
    • • Strong problem solving and decision making skills
    • • Likes to create and follow policies and procedures
    • REQUIREMENTS:
    • • At least 2 years of experience in events management or

    • • Strong written, oral communication, and relationship building skills
